In this quick tutorial, we are exploring the Supplier Policy Matrix. To access it, navigate to the Suppliers main section and select the Policy subsection. Clarity in policy is the foundation of consistency; this matrix ensures that your vendor requirements are standardized and strictly followed. The Policy Matrix: Defining Requirements The Policy Matrix allows you to define specific requirements based on the intersection of Supplier Type and Risk Level. Instead of manually remembering what each vendor needs, you pre-define the rules: Audit & Questionnaire Assignments: You can stipulate exactly which audit types or qualification questionnaires are required for each category (e.g., a “Critical Manufacturer” vs. a “Low-Risk Service Provider”). Documentation Cadence: For every required document, you can set the frequency—whether it is a one-time submission (like a business license) or a repeated/annual requirement (like an ISO 13485 certificate). System Automation: Once a supplier is added and assigned a risk level and category, the system automatically triggers the requirements defined in your matrix, ensuring no compliance step is missed. Controlled Supplier Access Security and confidentiality are paramount when collaborating with external partners. eLeaP provides restricted portal access for your suppliers: Restricted View: Approved suppliers cannot see your internal documents, design controls, risk management artifacts, or change management records. Focused Participation: Their access is strictly limited to providing the information you request and participating in the specific audits you assign to them. Status Control: Suppliers can be set to several statuses, including Approved, Rejected, Blocked, or Inactive. Immediate Revocation: If a supplier is set to Inactive, their system access is terminated immediately, protecting your sensitive data. Scalability and Compliance By utilizing a policy-driven oversight model, your supplier management becomes inherently scalable. Whether you are managing five vendors or five hundred, the eLeaP QMS ensures you maintain a defensible, compliant system that meets FDA, FAA, and ISO standards. As usual, if you have any questions about the Policy Matrix or any other features in the system, please do not hesitate to contact us.
