Tutorials Assigning Effective Documents to Training Assigning Effective Documents to Training Transcript: Assigning Effective Documents to Training Introduction Hello and welcome to eLeaP. In this quick tutorial, we are looking at how to assign effective documents to training using the eLeaP QMS. While policies establish the rules, training is what actually creates compliance. We will show you how eLeaP connects document control directly to your training workflows. The “Effective Only” Rule In a controlled environment, it is critical that employees are only trained on the most current, approved content. Controlled Access: Only documents in the Effective status can be sent to training. Status Check: If a document is still in Draft or Review, the “Send to Training” option will not be visible. This ensures that no one is accidentally trained on unapproved or outdated materials. How to Send a Document to Training Filter for Effective Documents: In the Documents module, use the status filter to display only your Effective records. Select Your Document: Open the document you wish to use for training (e.g., Packaging and Labeling Control). Initiate the Transfer: Click the Send to Training button. Choose Your Course Path: The system will ask if you want to: Create a New Course in the LMS specifically for this document. Attach the document to an Existing Course. Integration with the eLeaP LMS Once you confirm, the system seamlessly pushes the document into the eLeaP LMS: Access: Navigate to the LMS (ensure you have the proper administrative permissions). Verify & Activate: You will see the document content exactly as it was approved in the QMS. Review the lesson, activate it, and then activate the course. Assign Users: Now that the course is live, you can assign it to your team members immediately. Audit Trail: Every step of this process—from document approval in the QMS to completion in the LMS—is captured in your audit trail for end-to-end traceability. Conclusion eLeaP empowers you with a truly seamless process, bridging the gap between document creation and employee competency. By closing this loop, you ensure your organization remains compliant and your staff stays informed. As usual, if you have any questions about this integration or any other features, please do not hesitate to contact us.
